WinGD is looking for

Service Assistant

 

We are only considering applicants with Singapore nationality or Residence Permit. 

 

Key Accountabilities & Responsibilities:

Service & Technical Support
• Provide daily administrative and coordination support to Field Service Engineers and Service Managers
• Prepare, format, track, and archive service reports, work scopes, job confirmations, and technical memorandums
• Ensure service documentation completeness, accuracy, and traceability
• Support preparation and closing of service jobs and attendance reports

Sales, Contract & CRM Support
• Maintain and update CRM systems with customer, vessel, and service opportunity data
• Support Sales and Contract Managers with documentation, quotations, service agreements, and follow-ups
• Track Long Term Service Agreements (LTSA) and ad-hoc service contracts

Planning, Scheduling & Logistics
• Coordinate travel arrangements for service engineers including flights, accommodation, visas, and local transport
• Support service attendance planning for port calls, yard stays, and customer visits
• Liaise with customers, agents, shipyards, and internal teams for scheduling and logistics

Management & GM Support
• Provide administrative and coordination support to the General Manager
• Prepare presentations, internal memorandums, management summaries, and meeting materials
• Coordinate meetings, appointments, and follow-up action items

Office Administration & Compliance
• Process expense claims, invoices, and internal cost tracking
• Maintain structured digital and physical filing systems
• Support audits, compliance reviews, and internal reporting requirements
• Coordinate with building management, IT, and external service providers when required

Additional Duties
The Service Assistant may be assigned additional duties reasonably related to service operations, administrative support, or coordination activities, in line with business requirements and Singapore employment practices.

 

Education & Experience Requirements
• Diploma or Degree from a recognised Singapore institution (Polytechnic or University)
• Background in engineering, marine, technical services, or industrial support preferred
• Experience in shipping, shipyards, marine services, or technical operations is an advantage

Skills & Competencies
• Strong organisational and coordination skills
• High attention to detail and documentation discipline
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
• Experience with CRM systems preferred
• Clear written and verbal communication skills
• Ability to manage multiple priorities in a fast-paced service environment
