Spare Part Order Coordinator 

 

Position Overview

As a Spare Part Order Coordinator, you will play a pivotal role in ensuring the timely and accurate delivery of spare parts for our 2-stroke diesel engine services. Acting as the primary liaison between our customers and internal departments, you will manage quotations, orders, logistics, and after-sales support.

Your responsibilities will include handling customer inquiries, preparing quotations via SAP, coordinating with supply chain partners, and maintaining seamless communication throughout the order cycle. Success in this role requires a strong technical understanding, excellent organizational skills, and a proactive, customer-focused mindset. You will collaborate closely with international teams, contributing to the continuous optimization of our parts coordination processes to enhance customer satisfaction and operational efficiency.

Key Responsibilities

  • Manage customer requests for spare part quotations and orders with accuracy and speed, using SAP and internal tools
  • Act as a central point of contact between customers and internal departments (supply chain, pricing, logistics, service)
  • Prepare and issue spare parts quotations, ensuring correct pricing, lead times, and part identification
  • Coordinate the entire order-to-delivery cycle, ensuring on-time shipment and full customer satisfaction
  • Follow up proactively on quotations, open orders, and delivery schedules
  • Ensure all documentation is accurate and compliant with internal standards and customer requirements
  • Maintain clean and up-to-date customer and order data in SAP
  • Collaborate closely with WinGD’s global offices and Swiss headquarters to align on delivery commitments and project requirements
  • Support field service units with spare part needs for onboard interventions
  • Contribute to continuous improvement of spare parts sales and coordination processes
  • Report on order activity and customer engagement to line management on a regular basis.

Your Profile

  • Degree in a technical or commercial field (e.g., Engineering, Business, Logistics)
  • Minimum 3–5 years of experience in order coordination, spare parts sales, or supply chain/logistics, preferably in the marine or heavy machinery industry
  • Solid understanding of spare part processes, global logistics, and supply chain operations
  • Proficient in SAP (R/3 or S/4HANA) and Microsoft Office tools (Excel, Word, PowerPoint)
  • Strong communication skills with fluency in English; additional languages are a plus
  • Comfortable reading and understanding technical documentation and specifications
  • Customer-oriented mindset with a proactive and solution-driven approach
  • Ability to work independently and as part of an international, cross-functional team
  • Highly organized, with attention to detail and the ability to manage multiple priorities
  • Open, collaborative personality with strong interpersonal skills and cultural awareness.
